Corporate Car Rental in Egypt: A Procurement Checklist

Comparing corporate car rental proposals? Look beyond the monthly rate. This checklist covers inclusions, replacement vehicles, drivers, mileage, invoicing and flexibility.

Corporate car rental proposals can look similar on price and very different in practice. The monthly rate is only part of the cost; what is included, how problems are handled and how flexible the contract is matter just as much. This checklist helps procurement and administration teams compare like with like.

1. Define the requirement clearly

  • Number of vehicles, categories and user profiles (executives, managers, field staff, pool cars)
  • Locations where vehicles will be based and used
  • Expected monthly mileage per vehicle
  • Whether drivers are needed, and for which vehicles
  • Contract start date and term

A clear brief produces comparable proposals. Share the same brief with every supplier.

2. Check what is included

ItemWhat to confirm
Maintenance and servicingWho arranges it, how often, and whether a replacement is provided during servicing
InsuranceType of cover, excess, and the process after an accident
Registration and licensingWho renews licences and handles traffic administration
Tyres and consumablesIncluded or charged separately
Replacement vehiclesHow quickly, and of what category
MileageAllowance per month and excess charges

3. Understand driver arrangements

If vehicles come with drivers, confirm working hours, overtime, weekend and night work, replacement drivers during leave, language skills and how performance issues are handled. Separating vehicle and driver costs in the proposal makes comparison easier. See driver outsourcing for how this can work.

4. Check flexibility

  • Can vehicles be added or returned during the term?
  • What are the early termination terms?
  • Can categories be upgraded for new executives?
  • How are project end dates handled?

5. Invoicing and reporting

Ask for consolidated monthly invoices with a breakdown per vehicle or cost centre, and reports on mileage, maintenance and incidents. Good reporting saves your finance team time and gives you data for the next renewal.

6. Service and accountability

Who is your day-to-day contact? How quickly do they respond? What happens out of hours? A named account contact who knows your users is one of the most valuable parts of a corporate rental agreement.

7. Make the decision on total value

Compare total cost over the term, including likely extras, together with the quality of service and flexibility. The lowest monthly rate rarely gives the lowest total cost if replacements are slow or extras are excluded.

Frequently asked questions

What is included in corporate car rental?

It depends on the contract. Typically maintenance and servicing, and often insurance and registration. Always confirm replacement vehicle terms, mileage allowances and exclusions in writing.

Is it better to rent or buy company cars?

It depends on your finances, fleet size and administration capacity. Renting avoids upfront investment and resale risk; owning may suit very stable, long-term needs. Compare total cost and service, and consult your finance team.
